Privacy Policy

1. Introduction and scope

This Privacy Policy explains how SSJ Technologies LLC, an Arizona limited liability company doing business as FreightBinder ("FreightBinder," "we," "us," or "our"), collects, uses, discloses, and protects information in connection with our website at freightbinder.com (the "Site") and our services (the "Services").

This Policy covers two very different categories of information, and the rules that apply to each differ:

If you are an employee, carrier, driver, or other individual whose information appears inside a customer's documents, we process that information only on that customer's instructions. Direct your privacy requests to that customer; if you contact us, we will refer you to them.


2. Information we collect

2.1 Information you give us

  • Contact and inquiry information — name, business email, phone number, company name, job title, and anything you include in a form submission, email, or scheduled call.
  • Account information — if you create an account: name, email, company, and authentication credentials (passwords are stored only as salted hashes; we never see your password in plain text).
  • Billing information — if applicable, billing contact name, business email, and billing address. Payment is processed by Stripe, Inc. Payment card numbers, bank account numbers, and other payment credentials are collected and stored by Stripe, not by us; we receive only limited transaction metadata such as the last four digits of a card, the card brand, the authorization result, and the amount. Stripe's handling of your payment information is governed by Stripe's own privacy policy at stripe.com.
  • Communications — correspondence with us, including support requests and meeting notes.

2.2 Customer Materials

If you engage us for the Services, you may send us mailbox exports, document archives, and files that typically contain:

  • rate confirmations, carrier invoices, and related transportation documents;
  • business contact details of your employees and of carrier, shipper, and factoring company personnel;
  • email headers, routing information, and message content; and
  • commercial terms, rates, amounts, and payment information.

We process Customer Materials only to provide the Services to you, to maintain the integrity and audit trail of that processing, and as otherwise instructed by you or required by law. We do not sell them, use them for advertising, or use them for any purpose unrelated to the Services.

We ask that you not send payment card numbers, Social Security numbers, government identification numbers, bank account or routing numbers, protected health information, or biometric data. If such information appears in materials you send, we may delete, redact, or decline to process the affected files.

2.3 Information collected automatically

When you visit the Site we may collect: IP address, browser type and version, operating system, device identifiers, referring and exit pages, pages viewed, time spent, and timestamps. We collect this through cookies and similar technologies — see Section 8.

2.4 Information from third parties

We may obtain business contact information from publicly available sources and from business data providers for the purpose of identifying and contacting potential customers.


3. How we use information

Site Information is used to:

  • respond to inquiries and provide requested information;
  • operate, maintain, secure, and improve the Site and Services;
  • send operational and transactional messages;
  • send marketing communications where permitted (you may opt out at any time);
  • analyze usage and measure the effectiveness of our communications;
  • detect, prevent, and investigate fraud, abuse, and security incidents; and
  • comply with legal obligations and enforce our Terms.

Customer Materials are used only to:

  • perform document extraction, matching, reconciliation, and reporting as part of the Services;
  • generate and deliver Output to the customer;
  • maintain an immutable processing record for integrity and audit purposes;
  • troubleshoot and support the Services; and
  • comply with law or a valid legal process.

Legal bases (where UK/EU law applies): performance of a contract, our legitimate interests in operating and securing our business, your consent where required, and compliance with legal obligations.


4. Automated processing and AI providers

Please read this section carefully. The Services use automated systems, including optical character recognition and machine-learning models, to read and interpret documents. To provide the Services we transmit Customer Materials to third-party processing providers.

  • We select providers that offer zero data retention or equivalent configurations, and we enable those configurations where available.
  • We contractually require providers not to use Customer Materials to train their models.
  • We record which provider processed which materials.
  • We do not control those providers' systems, and no technical measure is absolute.

Automated systems make mistakes. Output is preliminary and requires human review before any reliance. We do not use automated decision-making that produces legal or similarly significant effects on any individual.

5. How we share information

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

We disclose information only as follows:

  • Service providers / subprocessors — cloud hosting and storage, document processing and AI model providers, meeting scheduling, email delivery, error monitoring, and payment processing (Stripe, Inc.). Each is bound by contract to process information only on our instructions and to protect it.
  • Professional advisors — attorneys, accountants, and insurers, under duties of confidentiality.
  • Legal and safety — where we believe disclosure is required by law, subpoena, court order, or governmental request, or is necessary to protect the rights, property, or safety of any person. Where legally permitted, we will make reasonable efforts to notify the affected customer before disclosing Customer Materials.
  • Business transfer — in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to this Policy continuing to apply.
  • With your direction — where you instruct us to share.

6. Data retention

Site Information is retained as long as needed for the purposes described, and then deleted or anonymized. Inquiry and marketing records are retained for 24 months unless you ask us to delete them sooner.

Customer Materials are retained according to the retention period agreed with the customer. Our default is 12 months, configurable by agreement. Materials are not deleted automatically on a fixed timer without a documented retention policy.

Certain records may be retained longer where:

  • required by applicable law or regulation;
  • necessary to maintain the integrity of an immutable processing record;
  • subject to a legal hold — where litigation, investigation, or a claim is reasonably anticipated, retention is suspended from deletion until the hold is released; or
  • necessary to establish, exercise, or defend legal claims.

Customers may request deletion of their Customer Materials at any time. We will honor the request subject to the exceptions above, and we log the request and the resulting action.


7. Security

We maintain commercially reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information, which currently include:

  • encryption in transit and at rest;
  • access controls, least-privilege roles, and multi-factor authentication for personnel;
  • logical separation of each customer's data;
  • malware scanning of uploaded files;
  • logging of access to documents; and
  • an incident response process.

No system is completely secure. We cannot guarantee that information will never be accessed, disclosed, altered, or destroyed by breach of our safeguards. You are responsible for retaining your own copies of anything you send us.

If we become aware of a security incident affecting your information, we will notify you without undue delay and as required by applicable law.


8. Cookies and analytics

We use cookies and similar technologies to operate the Site, keep it secure, and let you book a meeting with us.

We do not use third-party analytics, advertising, or cross-site tracking technologies on the Site. We do not use cookies to build a profile of you, we do not sell or share personal information for advertising, we do not engage in targeted advertising, and we do not permit third parties to collect personal information about your activity across different websites through the Site.

Our booking calendar is embedded from Cal.com, Inc. When you load a page containing the calendar, your browser connects to Cal.com directly. Cal.com may receive your IP address, browser and device type, and the page you are viewing, and may set cookies on its own domain in order to display the calendar and record a booking. If you book a meeting, the details you enter in the calendar are submitted to Cal.com. Cal.com's handling of that information is governed by its own privacy policy. If you would prefer not to interact with Cal.com, email us at contact@freightbinder.com instead and we will arrange a time directly.

You can control cookies through your browser settings; disabling strictly necessary cookies may prevent parts of the Site from working.

We do not respond to browser Do Not Track signals. We honor Global Privacy Control signals where required by law. Because we do not sell or share personal information or engage in targeted advertising, these signals have no practical effect on how we handle your data.

If we add analytics or any other third-party technology in future, we will update this section and this Policy's "Last updated" date before doing so.


9. Your privacy rights

9.1 All visitors

You may contact us at contact@freightbinder.com to request access to, correction of, or deletion of personal information we hold about you as a controller, or to opt out of marketing. You may unsubscribe from marketing email using the link in any such message.

9.2 California residents (CCPA/CPRA)

If you are a California resident, you have the right to know what personal information we collect, use, disclose, and retain; to request deletion; to request correction; to opt out of sale or sharing (we do neither); to limit use of sensitive personal information; and to be free from discrimination for exercising these rights.

Categories of personal information we have collected in the preceding 12 months: identifiers, commercial information, internet/network activity, and professional or employment-related information. We collect these from you directly, automatically through the Site, and from business data providers. We disclose them to the service providers listed in Section 5 for business purposes. We do not sell or share personal information.

To exercise a right, email contact@freightbinder.com. Because we operate exclusively online, email is our designated request method. We will verify your request using the information we hold. You may use an authorized agent with proof of authorization.

Where we process Customer Materials, we act as a service provider and will not retain, use, or disclose personal information in them except to perform the Services.

9.3 Other U.S. state privacy laws

Residents of states with comprehensive privacy laws — including Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, and others — may have similar rights of access, correction, deletion, and portability, and the right to opt out of targeted advertising, sale, and certain profiling. We do not engage in targeted advertising, sale, or profiling.

To exercise a right, email contact@freightbinder.com with "Privacy Request" in the subject line. We will respond within 45 days, and may extend once by a further 45 days where reasonably necessary, with notice to you.

Appeals. If we decline your request, we will tell you why. You may appeal by replying to our decision or emailing contact@freightbinder.com with "Privacy Appeal" in the subject line within 60 days. We will review the appeal and respond in writing within 45 days, explaining the reasons for our decision. If we deny the appeal, we will provide you with a method to contact your state attorney general to submit a complaint.

9.4 UK and EEA residents

Where UK or EU data protection law applies, you may have the right to access, rectify, erase, restrict, or object to processing, to data portability, and to withdraw consent. You may lodge a complaint with your supervisory authority. We do not currently offer or market the Services in the United Kingdom or the EEA.


10. Commercial email

Where we send marketing or commercial email, we comply with applicable law including the U.S. CAN-SPAM Act. Every such message identifies us, states its commercial purpose, includes a valid physical postal address, and provides a working unsubscribe mechanism. We honor unsubscribe requests within 10 business days.

We do not currently send commercial electronic messages to recipients in Canada. If we begin to, we will do so only in compliance with Canada's Anti-Spam Legislation (CASL), including its consent, identification, and unsubscribe requirements.


11. International data transfers

We are based in the United States and process information there. If you access the Site or send us information from outside the United States, you understand that it will be transferred to, stored, and processed in the United States, where data protection laws may differ from those of your jurisdiction. Where required, we use appropriate safeguards such as Standard Contractual Clauses.


12. Children's privacy

The Site and Services are for business use and are not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact contact@freightbinder.com and we will delete it.


The Site may link to third-party websites. We are not responsible for their privacy practices. Review their policies before providing information.


14. Changes to this Policy

We may update this Policy from time to time. We will post the revised version with a new "Last updated" date and, for material changes, provide additional notice where required. Your continued use after the effective date constitutes acceptance.
